At Tecia we take the privacy of UbiApp users seriously. This policy describes what data we collect, how we use it, and what rights you have over it.
1. What data we collect
To provide the service, we collect the following data:
- Account: email address and password (stored with secure bcrypt hash, never in plain text).
- GPS coordinates: latitude and longitude of the points you create, and the position recorded during routes you start manually.
- Photos: images you attach to points or visit records.
- Visit records: date, value, observations, and data associated with each visit you log.
- Group data: group name, members, roles, and custom fields configured by the administrator.
- Usage data: date and time of relevant actions for internal group audit purposes.
2. Location tracking
GPS position tracking works as follows:
- It activates only when you manually start a route within the app.
- It stops when you press "End route" or close the route from the app.
- Your location is never recorded in the background without your knowledge or consent.
- Position is recorded every 15 to 30 seconds, or every 20 to 50 meters, only during an active route.
3. Data storage
- On your device: data is stored locally in a SQLite database while there is no internet connection.
- On our server: data is synced to our own servers when a connection is available.
- Photos: images are stored on our own file server. We do not use third-party services such as AWS S3, Google Cloud, or similar to store your photos.
- We do not use third-party analytics services or advertising trackers.
4. How we use your data
- To provide the service: display points on the map, sync data between devices, and generate reports.
- For account-related communications: email verification, password recovery, group notifications.
- For internal group audit: the action history is visible to group administrators and owners.
5. Data we do not share
Your data is not sold, rented, or shared with third parties for advertising purposes. We do not monetize your personal information.
We only share data if required by law or a competent authority.
6. Data retention
- Free Plan: records, routes, and position tracks are kept for 2 months. Points and account data are kept while the account is active.
- Pro Plan: all data is kept indefinitely while the account is active.
- When you delete your account, all your data is permanently deleted from our servers.
7. Your rights
You have the right to:
- Access your personal data: you can view all your data directly in the app and web panel.
- Rectify incorrect data: you can edit your email and account data from the app.
- Delete your account and all your data: from the "My account" section in the app or web panel.
- Portability: you can export your data in CSV, Excel, or PDF format from the web panel.
8. Account deletion
You can delete your account and all your data directly from the app. If you are the Owner of any group, deleting your account will also delete all data in that group (points, records, routes, and photos). The app will inform you of this and require double confirmation before proceeding.
9. Minors
UbiApp is not directed at persons under 13 years of age. Tecia does not intentionally collect data from minors. If you are a parent or guardian and believe a minor has created an account, contact us to have it deleted.
10. Security
Passwords are stored with bcrypt hash. Communications between the app and the server use HTTPS. Session tokens are opaque (GUID) and can be remotely revoked.
11. Changes to this policy
If we make material changes to this policy, we will notify you by email at least 15 days in advance. The date of the last update always appears at the top of this page.
